About the Department:

The Office of Student Affairs (OSA) within the College of Public Health (CPH) is dedicated to enhancing and enriching every aspect of the student journey, from pre-admission through graduation. Serving as the primary welcoming space for current and prospective students, the OSA provides comprehensive guidance and support in areas such as recruitment, admissions, advising, assessment, and student engagement. Additionally, the Office oversees the processing and management of academic actions and appeals on behalf of the College.

About the Position:

The Office Coordinator ensures a positive experience for CPH students and visitors by maintaining consistent front desk staffing in the Office of Student Affairs. This role is responsible for managing key administrative operations, including purchasing and budgeting for OSA, monitoring general email accounts, coordinating the academic actions process, collecting and reporting student data, and organizing graduation-related information. Additionally, the Office Coordinator supports OSA and CPH events and provides scheduling assistance to the Director of Student Success and other CPH Student Affairs faculty and staff.

Responsibilities:

  • Oversees the administrative operations of the Office of Student Affairs (OSA), including supervising front desk staff, assisting with first-level inquiries and accurate referrals, monitoring general OSA email accounts, serving as a resource for university and college-level policies, and acting as the primary liaison for university-wide contacts on behalf of OSA. 
  • Oversees the academic actions process, including researching cases, tracking progress, maintaining accurate records, and preparing reports. Responds to inquiries regarding the status of academic actions and appeals. 
  • Manages purchasing and oversees the budget for the Office of Student Affairs. 
  • Responsible for managing the calendar and coordinating scheduling for the Director of Student Success, as well as other office faculty and staff. 
  • Stores and reports student information, with responsibilities that include collecting and distributing data necessary for student graduation. 
  • Provides support for events organized by the College of Public Health (CPH) and the Office of Student Affairs (OSA). Executes special projects as assigned. 

Required Qualifications:

  • High school diploma or equivalent;
  • Budget management and/or accounting experience;
  • Experience in a service-oriented office setting;
  • Ability to maintain confidentiality;
  • Exceptional verbal and written communication skills;
  • Ability to prioritize multiple tasks and manage deadlines;
  • Demonstrates strong attention to detail and precision in work; and
  • Proficiency in Microsoft Office suite (Outlook, Excel, Word, and PowerPoint).

Preferred Qualifications:

  • Bachelor’s degree in related field;
  • Experience working in a higher educational setting;
  • Experience ordering supplies and reconciling expenses;
  • Ability to work collaboratively and independently; and
  • Proficiency in student information and scheduling systems including, but not limited to, student information systems, Salesforce, Banner, Microstrategy, and Stellic.
