About the Position:

The Assistant Business Office Manager supports the Intercollegiate Athletics staff in day to day activities ensuring smooth operation of the department. Duties include but are not limited to reconciliation, compliance, office administration, and individual and team travel. The Assistant Business Office Manager must be knowledgeable of and compliant with all National Collegiate Athletic Association rules and regulations

Responsibilities:

Monitors ARMS to submit requests in MFG for off-campus and on-campus recruiting 

  • Submits travel and/or expenditure reimbursements utilizing Mason Finance Gateway system for all coaching staff, including Foundation related activity, and for student-athletes in a timely and accurate manner;
  • Submits cash advances, travel and/or expenditure pre-approvals and reimbursements utilizing Mason Finance Gateway system for coaching staff; and
  • Submits requisitions requests utilizing eVa online purchasing system for all procurements needs for coaching staff. Coordinates with Anthony Travel agent to allocate and/or track Enterprise expenses for all athletic department staff. 

Business & Financial Services Transaction Processing and Diligence 

  • Performs P-Card (departmental credit cards) reconciliations utilizing the Mason Finance Gateway system for senior Leadership Team members;
  • Submits P-Card applications and maintenance forms for all department staff;
  • Submits Banner and MicroStrategy access applications for all staff (except Student Access);
  • Submits cash advances, travel and/or expenditure pre-approvals and reimbursements utilizing Mason Finance Gateway system for Senior Leadership Team;
  • Submits requisitions requests utilizing eVa online purchasing system for all procurements needs for Senior Leadership Team;
  • Submits travel and/or expenditure reimbursements utilizing Mason Finance Gateway system for Senior Leadership Team for Foundation related activity;
  • Submits Foundation vouchers for Senior Leadership Team for Foundation related activity (that you aren’t able to process in MFG);
  • Assists with tracking of Annual P-Card Holder training to ensure completion within the deadline Assists as needed to order and inventory all office supplies, printer cartridges & paper for the department Acts as liaison for Print & Mail department for department copy machines;
  • Budget: Assists ICA staff, CFO, and Director with budget preparation, variance reporting, and adherence to budget constraints;
  • Provides transaction-level detail to ICA staff as requested;
  • Runs budget reports using Banner and MicroStrategy and assists with budget liaison for teams Procurement: Becomes familiar with eVA procedures and rules; and Processes eVA orders for department, as needed;
  • Financial Services: Becomes familiar with Fiscal Services procedures and rules; and
  • Maintains accurate understanding of all applicable Commonwealth, University and NCAA regulations regarding the transactions processed. 

Policy and Procedure Documentation 

  • Acts as support for the Athletic Department to document, communicate with, and train staff, coaches, and coaches’ administrative assistants to ensure compliance in budget, financial, and business procedures and processes as needed;
  • Serves as a Department resource on financial policies and procedures; and
  • Periodically communicates with and trains staff on financial and business procedures and processes including P-Card procedures and budget. 

Performs other related duties as assigned by departmental leadership

Required Qualifications:

  • Bachelor’s degree in related field or the equivalent combination of education and experience;
  • Demonstrated administrative office experience;
  • Demonstrated knowledge of technology / ability to quickly learn: Email, Microsoft Office, Windows environment, Banner Self Service, Internet Native Banner, eVA, Bank of America Works (credit card allocation);
  • Demonstrated skill in general administrative office management; organization; written and oral communication; problem-solving; and, providing internal and external customer service;
  • Demonstrated ability to work with a diverse population;
  • Work with constant interruptions;
  • Meet deadlines;
  • Respond quickly and proficiently to new projects assigned;
  • Maintain confidentiality; and
  • Organize and prioritize tasks.

Preferred Qualifications:

  • Demonstrated experience working in a fast-paced higher education and/or Division 1 Intercollegiate Athletics office;
  • Experience in working through systems such as: Chrome River (MFG), BOA Works, eVA, Banner, Microsoft 365, and Windows; and
  • Working knowledge of NCAA rules.
