About the Department:

The purpose of Auxiliary and Business Services (ABS) is to improve the quality of campus life for students, faculty, staff, and the community. ABS is the university’s overall strategic plan by providing quality goods, innovative services, and strategic business partnerships that improve value, increase student success, and enhance the university’s financial condition.

About the Position:

The primary purpose of the Card Access Coordinator is to develop and maintain card access for electronic door and lock hardware systems for the university community within ABS. These duties include, but are not limited to, maintaining the Card Access Security Office (CASO) email request system, responding to those emails as appropriate, updating and maintaining the card access computer database, working collaboratively with ABS and university colleagues, training peers and colleagues as needed, and data entry and coding of all access requests.

Responsibilities:

Maintains Records and Manages the Access Control System:

  • Enters and maintains accurate data and records and manages the card access database. Responsible for coordinating the implementation of the GMU access control system for all departments on all US campuses. Processes all access control requests in a timely and accurate manner. Adds, deletes, codes, and updates access control cards for ABS Tech team management as requested.
  • Reviews and maintains a working knowledge of all department policies, as well as laws and university policies pertaining to all relevant access control best practices. Follows Standard Operating Procedures and other department, university, and state policies.

Provides First-Line Support and Troubleshooting for Access Control Related Issues:

  • Conducts all work in a timely manner in accordance with established GMU Access Control standards and policies with a focus on accuracy, customer service, and maintaining security. Troubleshoots access control problems from the workstation and repairs if possible. Assists in setting special access for holidays and time zones on card readers. Demonstrates competency and familiarity of different card readers throughout all Mason’s US campuses.

Handles Customer Service Issues and Manages Requests and Inquiries for Access Control Services:

  • Provides reports or other access control details as needed for customers. Assists in consulting with various departments of the university on access issues. Greets walk-in customers and manages reception area, answers phone and email inquiries (to include CASO work request email account), and provides excellent customer service in a professional and friendly manner.

Plans, Schedules, and Prioritizes Tasks and Assignments:

  • Plans, schedules, and prioritizes projects and assignments in consultation with the Access Control Technician and IT Specialist, Physical Security IT Manager, or designee. Effectively communicates status of assignments to appropriate personnel, working cooperatively to schedule projects and assignments in accordance with established procedures and special operational priorities. Coordinates projects as assigned related to acquisition and integration of software programs and technical equipment.

Serves as Move Coordinator Representative for Large Building Moves and Performs Other Duties:

  • Coordinates with other campus departments and contractors to schedule and facilitate moves and attends to their various access control requests. Responds to and performs other related duties as assigned by the supervisor.

Required Qualifications:

  • High school diploma or equivalent;
  • Experience in all phases of electronic access control;
  • Experience with Electronic Access Control software;
  • Familiarity with technical door and card access systems;
  • Excellent public relations/customer service skills;
  • Ability to diagnose technical access issues;
  • Ability to focus on and prioritize multiple tasks maintaining attention to detail; and
  • Ability to set card access levels and manage a computer database.

Preferred Qualifications:

  • Bachelor’s degree in a related field;
  • Extensive experience in all phases of electronic access control; and
  • Experience with AccessIT, RS2, or Lenel card access systems preferred.
