About the Department:

The Office of the University Registrar actively supports and leads change while serving as a strategic partner to those the Office serves, focusing on ways to become more efficient, effective, and improving services to university constituents in meeting the needs of an evolving higher education environment.

About the Position:

The Degree Audit Exceptions Manager receives and processes substitutions, exceptions, and waivers submitted by academic units against degree requirements as represented in the university degree audit system. The position provides analysis and reporting on common substitutions and makes recommendations to units for curricular revisions. The role serves as a liaison between the Degree Audit team, Degree Clearance team, and academic unit advisors. Working with the Assistant Registrar for Catalog and Curriculum, the Degree Audit Exceptions Manager ensures exceptions are processed accurately, efficiently, and satisfactorily in compliance with all university policies and regulations.

Responsibilities:

  • Receives, reviews, processes, and applies substitutions, exceptions, and waivers submitted in the degree audit system by academic units in compliance with university policy and academic regulations;
  • Develops and delivers training to academic advisors on substitution and exception entry;
  • Troubleshoots issues with access or settings within the system;
  • Refers to Assistant Registrar for Catalog and Curriculum for difficult cases that require additional oversight or review;
  • Works with the Degree Audit team to incorporate curricular revisions into degree audits on an annual basis in conjunction with the curriculum submission and approval process;
  • Coordinates with the Degree Audit team on requirement-build issues that affect substitution handling;
  • Works with the Degree Clearance team to identify substitution-related issues with degree applicants;
  • Coordinates with Degree Clearance on prioritization of submitted exceptions in relation to degree review and clearance activity;
  • Analyzes and reports on processed substitutions; and
  • Makes recommendations to academic units for revisions to their approved curricula.

Required Qualifications:

  • Experience working in a registrar's office (typically at least one year);
  • Demonstrated experience with Microsoft Office suite, student information systems, and degree audit systems;
  • Strong understanding of how various kinds of academic requirements work together to create academic programs;
  • Excellent verbal and written communication skills;
  • Excellent organizational skills and attention to detail; and
  • Demonstrated ability to prioritize, establish goals, and see tasks through to completion.

Preferred Qualifications:

  • Bachelor’s degree in related field;
  • Customer service experience;
  • Experience as an academic advisor;
  • Experience with degree audit software, and especially exception handling;
  • Experience with the Ellucian Banner student information system;
  • Experience with curriculum management systems;
  • Experience with Degree Works and Stellic degree audit systems;
  • Experience modifying degree requirements in a degree audit system by applying exceptions; and
  • Ability to solve complex problems and good at solving puzzles with strong analytical skills.
