About the Department:

The Office of Advancement and Alumni Relations division is a comprehensive development and alumni relations enterprise with a staff complement of approximately 135 FTE. Functional units within Advancement include development/fundraising, alumni relations, donor relations and stewardship, advancement communications, special events, gift processing, research, prospect management, gift planning, corporate and foundation relations, information systems and management, and infrastructure services.

About the Position:

The lead marketing specialist is responsible for working with Alumni Relations events and programming staff to create engaging marketing campaigns. This person will lead a team of two and is responsible for managing and assigning the workflow to direct reports. This person will also be responsible for the marketing and graphic design needs of five alumni affinity chapters. 

Responsibilities:

  • Works collaboratively with alumni staff to develop marketing concepts and collateral for events and programs; 
  • Coordinates with programming staff to ensure promotional materials align with event objectives and branding; 
  • Manages the marketing/graphic design needs of the AVP of Alumni Relations and the Executive Director of Alumni Engagement, as requested; 
  • Develops the marketing timeline for each event/program and works collaboratively with the Office of Annual Giving for scheduling emails/texts/and calls as appropriate for each event/program; 
  • Acts as primary liaison between Alumni Relations Marketing and Advancement Communications; 
  • Monitors, tracks, and reports on the effectiveness of alumni marketing initiatives; 
  • Uses data to refine marketing strategies and inform future outreach efforts; 
  • Provides regular performance metrics and insights to leadership and stakeholders; 
  • Oversees alumni-facing digital channels (e.g., alumni website, LinkedIn, Facebook, Instagram); 
  • Oversees the use of SEO, SEM, and analytics tools to monitor and improve performance of digital campaigns; 
  • Develops and oversees segmentation strategies to deliver personalized and targeted outreach to alumni audiences;
  • Meets regularly with each chapter to forecast marketing needs; 
  • Responsible for building events and emails in the Anthology system, managing the RSVP process in PatriotForce, and ensuring that the chapter leads have the appropriate event-related materials;
  • Responsible for setting goals for performance and deadlines in ways that comply with the university’s plans and vision and communicate them to subordinates;
  • Organizing workflow and ensuring that employees understand their duties or delegated tasks;
  • Monitoring employee productivity and providing constructive feedback and coaching;
  • Receiving complaints and resolving problems;
  • Maintaining timekeeping and personnel records;
  • Passing on information from upper management to employees and vice versa;
  • Hiring and training new employees;  
  • Ensuring adherence to legal and university policies and procedures and undertaking disciplinary actions if the need arises; and
  • Provide logistical event support on site as needed for the Office of Alumni Relations.

Required Qualifications:

  • Database management skills;
  • Strong knowledge of best demonstrated marketing practices; 
  • Knowledge of common printing terms and requirements such as margins, bleeds, etc.;
  • Strong attention to detail; 
  • Ability to multitask and prioritize multiple projects concurrently; 
  • Self-starter who is a quick learner, with the ability to work on their own with minimal guidance; 
  • Excellent interpersonal, organizational, and communication (written and verbal) skills;  
  • High level of proficiency with Microsoft Office, especially Word and Excel, and possess strong verbal and written skills; and
  • Ability to follow detailed instructions and adhere to all division and university confidentiality protocols.

Preferred Qualifications:

  • Anthology, PatriotForce, and Salesforce knowledge is preferred.
